The e-Billing Manager will oversee all aspects of the firm’s electronic billing (e-Billing) operations to ensure efficient, compliant, and timely processing of client invoices through various e-Billing platforms. This role manages a team of e-Billers, provides leadership, training, and quality assurance oversight, and acts as the primary liaison between internal departments and client e-Billing contacts to resolve billing issues. The e-Billing Manager is responsible for continuously improving e-Billing processes, maintaining compliance with client guidelines, and ensuring accurate revenue realization.

ESSENTIAL JOB FUNCTIONS:
Team Leadership & Management

  • Manage and lead a team of e-Billers, providing day-to-day direction, guidance, and performance management.
  • Foster a collaborative and high-performing team environment through coaching, training, and ongoing development.
  • Set clear team goals and individual performance expectations aligned with departmental objectives.
  • Monitor team workload and distribute assignments to ensure efficient processing and coverage.


e-Billing Operations

  • Oversee the preparation, submission, tracking, and reconciliation of invoices through various client-specific e-Billing systems (e.g., CounselLink, Legal Tracker, Collaborati, LegalX, LSS, Tymetrix360, BillBlast, Onit, etc.).
  • Review and approve all e-Billing submissions to ensure accuracy, compliance with client guidelines, and timely delivery.
  • Manage invoice rejections, reductions, and appeals; coordinate responses to audit findings and work with attorneys, billing staff, and clients to resolve issues.
  • Analyze e-Billing metrics, trends, and rejection rates to identify process improvements and training opportunities.
  • Work closely with attorneys, billing staff, and client relationship teams to address e-Billing inquiries and troubleshooting issues.


Process & Compliance Oversight

  • Ensure compliance with firm billing policies, client Outside Counsel Guidelines (OCG), and e-Billing platform requirements.
  • Develop and maintain documentation for e-Billing best practices, procedures, and training materials.
  • Partner with Billing, Finance, and IT departments to optimize e-Billing workflows and systems integrations.
  • Conduct regular audits of e-Billing submissions to maintain accuracy, consistency, and adherence to compliance standards.


Client & Vendor Relations

  • Serve as the primary point of contact for client e-Billing representatives and third-party e-Billing vendors.
  • Collaborate with clients to onboard new matters, implement new e-Billing platforms, and resolve complex billing issues.
  • Facilitate onboarding of new clients to e-Billing platforms and oversee the setup of new clients/matters within billing systems.
