Harness, Dickey & Pierce is seeking a Collections Coordinator reporting directly to the Director of Financial Operations. This position is hybrid, three days in the office and 2 days remote. 

The Collections Coordinator is responsible for timely following up on aging receivables, communicating with clients and attorneys to resolve the outstanding balances, and keeping the collection notes up to date and accurate.  They will work closely with our billing supervisors and the Director of Financial Operations to improve collections outcomes.

Responsibilities

  • Generate and distribute monthly account statements using ARCS and provide copies of invoices as needed to support the statement balances. 
  • Maintaining ongoing collections related correspondence.  Communicating with clients and attorneys regarding outstanding balances and the development of payment plans.
  • Work closely with attorney and firm's general counsel to negotiate with clients in the event of non-payment and draft settlement agreements.
  • Work collaboratively with the Billing Supervisors to identify and resolve billing discrepancies.
  • Maintain accurate and up-to-date collection notes within ARCS. 
  • On a weekly basis, review balances and identify accounts that are uncollectible and follow protocol to obtain the necessary permissions to write-off the account and close the clients and matters.
  • Provide weekly status reports to management. 
  • Process credit card payments and maintain the credit card payment site and reports.
  • Assist with inactive trust account research and resolution.
  • Work with the IT department to maintain the collections software including upgrades and enhancements.

Qualifications

  • Bachelor’s degree in accounting or finance, or equivalent work experience.
  • 3-5 years of collections or billing experience, preferably at a law firm. 
  • Aderant Expert and ARCS experience preferred.
  • Solid working knowledge of MS Outlook and Excel, with Access experience a plus. 
  • The ability to work accurately and independently.
  • Excellent verbal and written communication skills.
  • Strong people skills and the ability to work collaboratively towards mutual goals.
  • Excellent analytical skills and a good eye for detail.
  • Well-developed time management and organizational skills
