Gordon Rees Scully Mansukhani, a national law firm, has an immediate opening for a Client Services Specialist in its San Diego office. This position ensures ongoing compliance with client billing and litigation management guidelines firm wide. The focus of the Client Services Specialist is based on client demands. Ideal candidates must have some college experience, preferably an Associates’ Degree in Accounting. In addition, a minimum of three years of work experience in a law firm, accounting, or other administrative field. Primary Responsibilities:
Enforce New Business Intake protocol to ensure that new matters are opened accurately.
Provide understanding and application of client billing and litigation management guidelines for Attorneys and Litigation Support Staff, and update SideBar (the firm’s portal) with any revised guidelines.
Calendar status report and budget due dates to comply with client-specific requirements.
Generate reports to monitor reporting requirements.
Ensure Attorneys and Litigation Support Staff update files.
Review and revise pre-bills to ensure accuracy and compliance with client billing and litigation management guidelines.
Provide client-specific training to timekeepers to produce accurate, billable time entries. Review billing deductions and facilitate the appeals process between timekeepers and Accounting Department. Assist timekeepers in understanding client-specific deductions to bills and drafting appropriate responses.
Resolve outstanding A/R, unapplied cash, and trust balances and report issues to management. Follow up with handling Attorneys, Accounting and Risk Management Departments to facilitate the timely closing of files.
Prepare for, oversee and assist with firm audits.
Extensive experience with the following programs is preferred:
Microsoft Office 2010: Word, Excel, Outlook
Adobe Acrobat, Power PDF Advanced, and/or PDF Converter Enterprise
iManage (DeskSite) or related database management system
Aderant Expert or related accounting modules
CompuLaw or related electronic calendaring system
Elegrity/LBMS or related new business intake system
The Client Services Specialist should possess strong communication and organizational skills; familiarity with word processing, spreadsheet, database and presentation programs.
The candidate should have experience communicating consistently with individuals in high levels of management, clients, and/or equity Partners.
The individual should possess strong abilities to work under stressful and potentially tense situations; attention to detail and a strong ability to multitask are essential to this position.
